What is this role?
CarePoint Health is seeking a proactive, organized, and technically capable IT Specialist to support IT operations, corporate technology, digital tools, and vendor relationships.
As the primary internal IT contact, the IT Specialist ensures employees have the equipment, system access, and technical support needed to work effectively. Working closely with outsourced IT providers, software vendors, internal departments, and CarePoint’s Digital Health Team, the role supports business applications, technical issues, manages vendor services, and helps maintain a secure, reliable, and efficient IT environment.
This is a hands-on, coordination-focused role that combines end-user support, application troubleshooting, vendor management, IT security coordination, and operational improvement. The successful candidate will be comfortable assisting staff with varying levels of technical knowledge, coordinating complex issues with external specialists, supporting technology projects, and identifying opportunities to improve systems and processes.
Understanding privacy, information security, and reliable technology in healthcare is essential. The incumbent will also collaborate with the Digital Health Lead on healthcare platforms, integrations, access, and technical support.
Reporting to the Director of Operations – Corporate Services, your key responsibilities would include:
IT Operations and End-User Support
· Coordinate internal IT needs, including equipment provisioning, software access, and technical requests, directing employees to the outsourced helpdesk for timely day-to-day support.
· Coordinate the investigation, prioritization, escalation, and resolution of IT incidents and service requests with the outsourced IT provider and relevant technology vendors.
· Maintain the operational readiness of computers, printers, phones, mobile devices, peripherals, and other IT equipment, coordinating installations, configurations, repairs, and replacements as required.
· Develop and maintain IT documentation, troubleshooting guides, escalation procedures, and knowledge resources to improve support consistency and employee self-service.
· Coordinate IT support for employee onboarding and offboarding, including equipment provisioning and recovery, account setup and removal, and appropriate system access changes.
IT Vendor and Asset Management
· Serve as the primary internal liaison with the outsourced managed IT service provider, coordinating technical support, infrastructure maintenance, system updates, and other contracted services.
· Coordinate relationships with technology vendors, telecommunications providers, application providers, and hardware suppliers, monitor service delivery, escalate concerns, and support contract and renewal management.
· Maintain accurate inventories of IT hardware, software, subscriptions, licenses, warranties, and assigned equipment, identifying lifecycle requirements, licensing gaps, and opportunities to optimize costs.
Corporate Systems and Application Support
· Coordinate the administration and effective use of Microsoft 365, SharePoint, Microsoft Teams, email, and other corporate productivity and collaboration platforms.
· Coordinate support, maintenance, upgrades, testing, and configuration changes for business applications, working with vendors and internal stakeholders to resolve issues and improve system performance.
· Provide guidance and training to employees on corporate systems, digital tools, and technology best practices, supporting adoption, productivity, and effective use of available resources.
IT Security, Privacy, and Compliance
· Coordinate with the outsourced IT provider and internal Privacy and Risk stakeholders to support IT security, access management, endpoint protection, software updates, and secure system configurations.
· Support compliance with applicable privacy legislation, including Ontario's Personal Health Information Protection Act (PHIPA), and organizational policies for protecting personal health information and other sensitive data.
· Escalate suspected cybersecurity incidents, phishing attempts, unauthorized access, lost devices, and potential privacy breaches through established incident response procedures, supporting remediation and audit activities.
Healthcare Technology and Business Operations
· Collaborate with the Digital Health Lead and relevant vendors to coordinate healthcare technology issues, distinguish infrastructure problems from application or clinical workflow concerns, and prioritize incidents that may affect care delivery.
· Coordinate IT projects, system implementations, equipment deployments, software upgrades, and process improvement initiatives, including requirements gathering, testing, implementation, and post-launch follow-up.
· Monitor IT performance metrics, vendor service levels, technology costs, and recurring issues, preparing reports and recommendations to support management decisions, budgeting, and continuous improvement.
Business Continuity and IT Resilience
· Coordinate with the outsourced IT provider and internal stakeholders to support business continuity, backup and disaster recovery arrangements, outage response, recovery testing, and communication during significant technology disruptions.
Qualifications
- Post-secondary education in Information Technology, Computer Science, Information Systems, Health Informatics, or a related field, or an equivalent combination of education, training, certifications, and practical experience.
- Typically, four to five years of relevant experience in IT support, IT operations, application support, systems coordination, or technology administration, including experience working with outsourced IT providers, managed service providers, or third-party technology vendors.
- Demonstrated troubleshooting skills across hardware, software, Windows operating systems, connectivity, user accounts, and business applications, with working knowledge of Microsoft 365, SharePoint, Microsoft Teams, and collaboration tools.
- Experience coordinating IT service requests, vendor escalations, hardware procurement, software licensing, technology assets, and incident management, with familiarity with ticketing systems, service-level agreements, and IT documentation.
- Working knowledge of networking fundamentals, device configuration, software updates, endpoint security, backups, and IT security best practices, with an understanding of healthcare privacy requirements, including PHIPA, and the importance of protecting personal health information.
- Experience supporting healthcare, community health, clinical operations, or other regulated environments is an asset. Familiarity with accessibility requirements, including the Accessibility for Ontarians with Disabilities Act (AODA), is also an asset.
The successful candidate will also demonstrate:
- Strong communication, interpersonal, organizational, and customer service skills, including the ability to communicate technical information clearly and respectfully with colleagues who have diverse backgrounds, experiences, communication styles, and levels of technical knowledge.
- Strong time-management, troubleshooting, problem-solving, prioritization, and multitasking abilities.
- The ability to communicate technical concepts clearly to non-technical users.
- A proactive and service-oriented approach to resolving issues and supporting colleagues.
- Strong attention to detail when managing equipment, software, access permissions, documentation, and security-related matters.
- The ability to work independently while collaborating effectively with internal teams, external vendors, and technical specialists.
